COMMUNITY REPORTING

Private submissions. Broad public insight.

This notice applies to voluntary community waste-location submissions. It is separate from customer camera monitoring and the commercial app.

Effective 1 October 2026Last reviewed 1 October 2026

1. Purpose and responsibility

SENTRL AI controls the community submission service. Reports can describe waste locations worldwide. The purpose is to understand repeated reported waste locations and publish limited area statistics after private review. A submission is not sent automatically to a local authority and does not create a removal request, enforcement case or finding of wrongdoing. We do not represent local authorities or claim their endorsement.

2. What a report contains

A report contains the selected waste location, nearby landmark, observation day, type of waste, optional location context and optional prepared media. The form does not ask for your name, account, phone number or email. A random report reference and a hashed removal key allow you to request deletion without identifying yourself.

The application does not store your raw IP address with a report. Cloudflare processes network information to deliver and protect the service. A short-lived security counter uses an hourly keyed digest of a network address; it is separate from reports and expires after at most two hours. Turnstile also processes security-check information. Infrastructure logs and media context mean we cannot promise absolute anonymity.

3. Submit the location, not a person

Leave out names, contact details, accusations and links. Use a site address only where needed to locate the waste; do not add a person’s home address to identify or accuse them. Focus evidence on waste and the site. Cover entire people, number plates, addresses and other identifying details before submission. The photo preparation tool re-encodes the image, removing the original EXIF metadata and filename. The video tool records the prepared visual surface without audio. The original file is not uploaded by the form.

The tool uses manual solid covers; it does not automatically find or track people. Check a whole clip, including moving subjects. A prepared attachment can still reveal someone through context. If you cannot remove identifying details, submit a location without media and use the appropriate official authority for an identifiable witness or evidence report.

4. Legal basis and limits

For necessary personal data used to run and secure this voluntary location-insight service, SENTRL relies on legitimate interests in understanding environmental hotspots, preventing misuse and protecting the service, subject to an assessment of necessity and people's rights. No account consent is used to authorise allegations about another person. Identifiable accusations or footage linked to alleged offences require additional lawful conditions and are outside this community collection design.

Reviewers remove unsuitable or identifying submissions rather than publish them. The service must be operated under a documented legitimate-interests assessment and, where required, a data protection impact assessment. These operating assessments and any required criminal-offence data conditions are separate from this notice.

5. Private review and publication

Authorised SENTRL reviewers can see the private location, text and attachment to assess relevance, duplication and privacy. Evidence and text are never provided by the public map API. Reviewers must remove inappropriate identifying content and suspected duplicate observations before approving a record for aggregation.

The public map uses approximate 5 km areas with at least three approved reports on three different observation days, a 24-hour delay and a rolling 90-day window. Counts appear in bands. It excludes exact coordinates, observation times, names, report identifiers, text and media. These controls reduce disclosure risk; they do not turn a community count into verified crime statistics.

6. Retention and removal

Private media expires after 30 days. Report records and precise location data expire after 90 days. Scheduled cleanup runs hourly, and expired attachments are blocked from review immediately. Unsuitable submissions are removed sooner. Save the private removal receipt: upload the downloaded text receipt or paste its contents into the removal tool to fill in its reference and key. You confirm removal before your report and attachment are deleted. The receipt is read locally; only its reference and key are sent when you confirm removal. The map refreshes within five minutes.

We do not retain a recoverable copy of your removal key. Without it, we may be unable to verify a claimed submission belongs to you. Contact support about privacy, identifying material, harmful submissions or errors. We will assess requests using the available information.

7. Providers and map loading

Cloudflare provides hosting, the database, private object storage and the security check. Public access must remain disabled for the evidence bucket. The report location map and public hotspot map load automatically when their pages open. OpenFreeMap receives your network address and requests for the map areas being viewed, including the area around a pin you select. The report pin is not published or sent to SENTRL until you submit. Device location is requested only when you press Use my current location. The map uses OpenStreetMap data. Media, report text and removal keys are not sent to the map provider. Address searches are sent to SENTRL only when you press Find location or Enter. SENTRL sends the search text to the Photon address service operated by komoot, using OpenStreetMap data. Do not enter a person’s name or contact details. Search text is not recorded in the report database. Matched public-place results may be cached for 30 minutes under a hashed lookup key to reduce provider traffic; these lookups are not associated with reports or reporter accounts. Site-wide search capacity counters contain no network address or query text. Photon and infrastructure providers may process technical request information under their own practices. Coordinates and supported map-pin links pasted into the optional field are parsed on your device; SENTRL does not open those links. Only the location label and coordinates you confirm are included if you submit. See Cloudflare's privacy policy, OpenFreeMap’s privacy policy and Photon service information.

Where providers process data outside the UK, applicable transfer safeguards must be in place. We do not sell submissions, use them for facial recognition, train models on submitted media through this service, or provide an automatic local-authority or police feed. Any later sharing or change of purpose needs its own legal assessment and updated notice.

8. Your rights and concerns

Depending on the circumstances, you can request access, correction, erasure, restriction or object to processing. Contact support@sentrl-ai.com with enough detail to find the relevant record. You may complain to the Information Commissioner's Office.

9. Official reporting and safety

For cleanup or investigation, contact the waste or environmental authority responsible for the location. Official reporting services vary by country. Do not confront people, trespass or handle dangerous waste. Contact the local emergency services if there is an immediate emergency. SENTRL does not provide emergency response.
